Policies & Procedures

Thank you for allowing Beach Realty to assist you with your vacation plans. Our office is conveniently located at 131 North Waccamaw Drive, Garden City, South Carolina 29576. We represent a wide variety of quality, beach vacation rental homes. Individually and privately owned, each vacation home reflects the taste of its Owners. Every effort has been made to ensure that the descriptions, amenities and rates on our website are accurate. However, we cannot be held responsible for changes made by owners to furnishings and/or equipment. Beach Realty is not responsible for errors in the brochure or on the website. Descriptions and rates are subject to correction or change without notice.

ACCOMMODATIONS – Each home is privately owned and reflects the owners’ individual tastes and requirements. Decor, style, furnishings, and appliances vary and may be changed without notice. We recommend you personally inspect the rental home prior to making your reservation. We welcome the opportunity to show you any unoccupied home. Neither Beach Realty nor the Owner shall be responsible for providing any additional furnishings or appliances not presently in the home. Each home is individually owned, so please do not remove furnishings, kitchen items, or pool furniture from the property. Re-arranging furniture is prohibited. Some properties are designated as non-smoking. We cannot guarantee that the property will be smoke free; however, we will make every effort to respect this request. Omissions, additions, or errors as well as changes in bedding, furniture, equipment, etc. made by Owner or Printer shall not be the responsibility of Agent, Owner, or Printer. Beach Realty is not responsible for errors/omissions. We reserve the right to correct such errors. All rental rates, furnishings, equipment are subject to change without notice. We are unable to make other arrangements, substitutions, or refunds.

ADVANCE TENTATIVE REQUESTS – Advance Tentative Requests may be made for the following calendar year provided that the corresponding date requested has passed in the current calendar. Current calendar guests have the first option to renew until departure. Rates are subject to change and requests must be confirmed by full rental deposits by January 1 of the following year. Advance Tentative Request fees are required to hold your request until January 1. This fee is non-refundable or transferable and does not apply to the rental rate. If the property owner has reserved his own property, our guest services staff can assist you in finding another beautiful home.

CHECK-IN – Check-in begins at 3:00 PM until close of business. Please check with the office for specific closing times. If you arrive prior to 3:00 PM, we request that you spend some time enjoying our beach, restaurants and other attractions until your home becomes available. Our staff will be happy to suggest their “local favorites” to help you pass the time. Please do not go to the home before checking-in at our office. Beach Realty makes every effort to ensure that all properties are clean and ready for occupancy. However, in some instances, especially during peak season, it may be necessary to delay occupancy until the home is ready. Keys will only be released to the individual whose name appears on the reservation. Please authorize Agent (in writing prior to your arrival) to release keys to another party member, age 25 or older, if you cannot be present at check-in. Valid state issued or government photo identification is required at check-in. If arriving after 4:00 PM, you must notify our office so arrangements can be made for you. You will still be required to officially check-in and present a valid photo ID the next business day. Important Note: Keys cannot be available for late arrivals unless balance is paid in full.

WEEKLY RESERVATIONS – Check-in time is between 3:00 PM until closing Saturday and end at 10:00 AM the following Saturday. Reservations can be made as far as one-year in advance. Saturday-to-Saturday deviations may be made on a last minute basis or during the off-season – and is subject to availability.

MONTHLY RESERVATIONS – Off-season monthly and nightly reservations extend from October 1 to April 1 (unless interrupted by the Easter holiday season). Call for details on great monthly rates!

NIGHTLY RESERVATIONS – If a property is available you may be able to reserve that property on a nightly basis during the peak summer season (2 night minimum required). Minimum night requirements may vary for holidays & special events.

GIFT CERTIFICATE – Want to give the ultimate gift to someone special?  Consider giving your loved ones a vacation at the beach! Your gift will forever be associated with you in their memories.  A Beach Realty gift certificate works two ways. You can use the gift certificate to reserve a beach house for a specific week, or you can purchase a gift certificate for a specified dollar amount that the recipient can apply to the beach house and week of their choice.  Either way you choose, they receive a gift with memories that will last a lifetime.

METHOD OF PAYMENT/RESERVATIONS – No personal checks will be accepted less than 30-days in advance of your arrival, on last minute reservations or at time of check-in. A $20.00 fee will be charged if a check is returned to us by the bank for insufficient funds. Methods of payment include: cash, money orders, cashier’s checks, VISA, MasterCard, and Discover. Debit cards are not accepted. When paying by credit card, the name on the credit card must be the same as the name on the Vacation Rental Agreement. International reservations must be paid in U.S. funds by Certified Funds only payable by a U.S. Bank. All payments must be made payable to: Beach Realty, P.O. Box 2268, Garden City, SC 29576. Reservations must be paid in full 30-days prior to arrival. A non-refundable reservation fee is added to all reservations. Cancellations of reservations not holding insurance will not receive refunds of any kind. Reservations are nontransferable. Requesting to change or transfer a reservation to another home, date or person is a cancellation of the current reservation. The guest shall not assign this agreement or sublet the property in whole or in part. We are unable to make other arrangements, substitutions or refunds for early departures and no show reservations.

DEPOSITS – A deposit of 25% of the total rent, optional Vacation Protection Insurance and non-refundable reservation fee are required within 10-days of making your reservation. NOTE: Declining the optional Vacation Protection Insurance does not change the deposit amount. If your deposit is not received by the due date, your reservation will be cancelled without notification. Interest earned on funds deposited with Beach Realty are payable to Beach Realty. No other arrangements, substitutions, rate adjustments, or refunds will be issued once your reservation is confirmed or upon arrival.

TAXES – Tax rates may change without notice. There are separate taxes for each county. Guest assumes all responsibility for payment of additional taxes if tax rates increase prior to scheduled departure date.

VACATION PROTECTION PLAN –You have the option of protecting your vacation investment through the purchase of travel insurance. Although this insurance is optional, it is recommended. It provides protection should you be forced to cancel, interrupt or delay your trip due to evacuation, serious illness or a death of a family member. Vacation Protection Insurance is automatically added to all reservations. Guest must initial the Deposit Request Form to decline the insurance. If not declined with the initial deposit, the Vacation Protection Insurance CANNOT be canceled or refunded at a later time. Travel Insurance is provided through CSA Travel Protection and you will receive information on their program via either email or standard mail.

GROUPS/MAXIMUM NUMBER OF PEOPLE – Each home has a maximum occupancy limit. Occupancy (including small children and visitors) is not to exceed this limit. The only exceptions made are for infants occupying a crib. Rental agreements with our Owners prohibit rentals to schools, fraternity, sorority, church and other non-family groups – chaperoned or un-chaperoned unless all members are 25 years of age or older. We welcome weddings, receptions, social gatherings, etc., however, they must be approved by Beach Realty management at the time the reservation is made (Restrictions, limits and deposits apply – please call for details). No RV’s/Campers are permitted. Vehicle parking is limited to the number advertised. Motorcycles and/or trailers are prohibited in Inlet Harbor. Absolutely no house parties! Should a group misrepresent itself, or fail to comply, the group, in its entirely will be required to vacate the property immediately without any refund.

ACCIDENTAL DAMAGE WAIVER – In lieu of paying a refundable security deposit, all standard guest reservations will be charged a $75.00 Accidental Damage Waiver Fee. This fee will be automatically added to each guest reservation. This fee is not refundable or applied to future rentals. The damage waiver is limited to a maximum coverage of $1,000 per stay. All guests staying in the property (as indicated on the guest list provided prior to check-in) will be covered by this waiver and will not be obligated to pay for accidental loss or damage to the rental home or its contents.

The Accidental Damage Waiver does NOT include:

  • Intentional acts, gross negligence or willful conduct.
  • Evidence of and/or damage caused by pets.
  • Damage and/or theft by unauthorized individuals or groups.
  • Any loss, if the guest does not report the damage to Beach Realty staff by the time of vacating the premises.
  • Loss of use.
  • Excessive cleaning costs (incomplete check-out duties, carpet cleans).
  • Loss or damage to guest’s personal property or rental equipment brought onto the premises.
  • Normal wear & tear.
  • Damage to, or caused by, electric vehicles (golf carts).
  • Any damage caused by a violation of Beach Realty’s Customs & Courtesies or in an action that violates local, state or federal laws.
  • Acts of God.

Damage Waiver protection is not available for monthly or other long-term rentals. The Accidental Damage Waiver is not insurance. The accidental damage waiver is not available for non-family or large groups such as weddings, reunions, corporate retreats, etc. Guests in these categories, when approved, will be required to pay a non-refundable event fee.

Beach Realty will determine all necessary repairs. Report all damages to Beach Realty immediately. All damages must be reported prior to check-out. Beach Realty and its property owners are not responsible for the damage, loss or theft of personal property, including but not limited to automobiles, motorcycles, recreational vehicles, personal items and cash. Guest assumes all responsibility/liability for damages not reported upon arrival.

HOUSEKEEPING, MAINTENANCE & REPAIRS – Our vacation homes are well maintained and clean, but please understand that these are unique and intricate homes, which just like your own, occasionally experience unexpected problems. Please report any inoperative equipment, maintenance problems, or housekeeping concerns to our office immediately. If you have a concern and we do not hear about it, it is difficult for us to correct the problem. Our full-time housekeeping and maintenance team is ready to serve you. So, please call if you have any questions or concerns so we can take care of them immediately. The essence of your vacation is to enjoy yourself, so we will make every effort to correct any problems you may experience in a timely manner. Please understand that certain emergencies do take precedence. Beach Realty is not responsible for delays and/or service interruptions with utilities such as cable, Internet access, phone service, etc. No rate adjustments, property substitutions or relocations, rebates or refunds will be issued for ANY mechanical failures including delays due to receiving parts needed for repairs, delays due to service and/or utility companies, requests made outside operating hours or on holidays, etc. Some service requests may be handled on the next business day. The Agent or maintenance staff may enter the home during working hours or at other times in case of an emergency for the purpose of completing necessary repairs, maintenance and/or requests.

LINEN RENTAL – Bedspreads/Comforters, mattress pads and pillows are provided. Linens are not provided. A full bed & bath package is automatically added to all reservations. You must initial the Deposit Request Form should you choose to decline the linen package and wish to bring your own linens. All items will be delivered the day of your arrival. Linen rental does not include bed set-up. Beach & sporting equipment is available for rental upon request. Guest assumes all responsibility for damaged, missing, stolen equipment.

PETS – Some of our vacation rental homes welcome pets. Please specify your need for a pet friendly rental home when you make your reservation. There is a $250 non-refundable pet fee (per pet, per reservation). Small breeds only, less than 25 lbs. We cannot allow pets in non-pet homes, so please don’t bring your pet unless you hold a confirmed reservation in a pet friendly home. Our staff will be happy to provide boarding references upon request. Visiting pets are not allowed. Misrepresentation will result in eviction without refund. Guests are expected to abide by local animal laws and regulations, which require that pets be leashed at all times. There is a “bark park” located at the Market Common in Myrtle Beach where your furry friend can run around, swim and meet other dogs (our staff can provide a map). Our pet friendly “house rules” include:

  1. Bring something for your pet to sleep on; their favorite blanket, towel, or bed.
  2. Pets are not allowed on furniture or in the pool (if applicable).
  3. Clean up after your pet.
  4. If your pet took a swim in the ocean, please wash off sand and spend time outside with your pet until dry.
  5. Remember your pet is in a strange home. Don’t leave unattended for long periods of time. Don’t make it difficult for him to abide by his “housebreaking” training. Don’t leave unattended at all if your pet barks, chews, etc. when left alone.
  6. Your neighbor is on vacation too, and treasures the beauty of The Grand Strand. You will be held responsible for any damage done by your pet, and may be asked to vacate immediately, without refund if these guidelines are not followed. Damages caused by pets are NOT covered under the Accidental Damage Waiver.

POOL SERVICES – All pools are professionally maintained by the homeowner’s personal pool service (a third party). Some pools are equipped with a pool heater which can be utilized for a fee (please contact office for details). Pool heating is ONLY available March 1 through May 31 and September 1 through October 31. Pool heaters only heat when the exterior temperature is above 60-degrees Fahrenheit. Unauthorized use or tampering with pool heat and/or propane tanks is illegal and will be report to local authorities for prosecution.

WEDDING & EVENT INFORMATION – Only select homes participate in the Wedding & Special Event Program. Because rental agreements strictly prohibit weddings and/or special events, a separate agreement and event fee is mandatory. Should a group misrepresent itself, or fail to comply, the group in its entirety will be required to vacate the premises immediately. A refundable Security Deposit of $500.00 is required. The security deposit is not optional when renting a home for an event. Pending a post check-out inspection, your security deposit will be returned to you in the form of a business check within 30 days of departure date as required by S.C. State Law. There is an additional event fee incurred by the renter in the amount of $500.00. The event fee will defray the cost involved in the logistics of these events and ensure minimal “wear and tear” on the property. The event fee is put in place for the additional use during the event itself. Please understand that the normal number of people in a weekly occupancy is far less than during an event. This fee also covers a light clean of the home and extra trash removal after the event.  All trash must be secured in trash bags and placed in the driveway. The event fee does not cover damages to the property, moving furniture back to its original place, excessive carpet cleaning, or excessive trash removal. Guest holding the reservation is responsible for all damages. Alternative parking arrangements for your guests will need to be made in advance. There will be no refunds due to rain/inclement weather, evacuations, or power outages. Please be respectful of neighbors. Guests are required to obey all local laws, beach regulations and noise ordinances. Fireworks are strictly prohibited on any property. Commercially produced weddings are not permitted on the public beach or on any rental property.

SPECIAL REMINDERS – Guests are expected to obey all local laws and beach regulations. No grilling on beaches, walkways or decks. Fireworks are strictly prohibited on any property. Fireworks are illegal in Long Bay Estates by order of the Horry County Police Department. Fireworks are illegal in Surfside Beach, except on the Fourth of July. Fireworks are illegal in Inlet Harbor. Use Public Beach Accesses only and do not walk on private property. Ordinances are subject to change. Violators will be prosecuted. Sand dunes play a critical roll in controlling beach erosion. Please stay off of the dunes. It is illegal to pick, break, damage or destroy sea oats. It is illegal to kill or harm sea turtles or disturb sea turtle nesting sites. Due to human exploration and habitat destruction, sea turtles are threatened with extinction. The female turtle usually comes ashore at night to lay her eggs in the sand. In two or three hours she will lay about 120 eggs, yet only one turtle per nest will survive to adulthood. Avoid disturbing a turtle that is crawling to or from the water. Avoid crowding around a nesting turtle and do not shine lights in her eyes or take flash pictures. Littering is illegal and harmful to animals, birds and marine life. Please keep the ocean and beaches clean for all families to enjoy.

CONSERVATION – Please help protect our delicate coastal environment by being conscious of your water and energy consumption while visiting The Grand Strand/Myrtle Beach Area. We invite you to join with us to conserve water by using your linens and towels more than once. In addition to decreasing water and energy consumption, you help the environment by using fewer chemicals and by reducing the amount of detergent waste water that must be recycled within our community.

You can also assist by:

  • Closing all windows and doors when the air conditioning is on
  • Turning off lights and appliances when they aren’t in use (including outdoor lighting)
  • Washing only full loads in the dishwasher/washing machine
  • Not allowing water to run freely while brushing your teeth, shaving or washing up

CONSTRUCTION – Construction and beach re-nourishment projects occur periodically along The Grand Strand. Beach Realty has no control over construction projects and cannot predict construction schedules so we may not be able to inform you at the time you make your reservation whether or not your rental home is near a construction site. No rate adjustments, property substitutions or relocations, rebates or refunds will be made for any inconvenience due to construction, road repairs, beach re-nourishment projects, etc. Thank you for your understanding.

ELECTRIC VEHICLES (GOLF CARTS) – Electric vehicles (golf carts) are subject to all laws and ordinances applicable to operations of a motor vehicle on public roads, including that all operators must possess a valid driver’s license. Traffic laws and ordinances are enforced by local authorities. Guests shall comply with all applicable laws and ordinances, shall be liable for any damage or injury they or their invitees cause while operating an electric vehicle, and shall hold Beach Realty free and harmless from liability for such damage or injuries. Damage to, or caused by electric vehicles is not covered by the Accidental Damage Waiver.

INCLEMENT WEATHER – The South Carolina Coast experiences occasional stormy weather and power outages. There will be no refunds due to inclement weather, evacuations, or power outages. To help protect your vacation investment Beach Realty recommends the purchase of Vacation Protection Insurance on all reservations.

MESSAGES & MAIL – Not all homes provide phone service. Select local calls are free. Long distance is blocked. Calling cards are required for all long distance calls. All mail sent to guests must be sent to the office address, in care of Beach Realty. Address must include guest AND property name. Please check with the office periodically if you are expecting mail. Copy and fax service are also available.

OWNER’S PERSONAL CLOSET/STORAGE AREAS – Each home has at least one locked closet/storage area, which is unavailable to guests. These areas are not included with your rental. Tampering with locked closets will be reported to local law enforcement authorities.

PROPERTY FOR SALE – In the event that the vacation home you are renting is on the market for sale, we may find the need to show the property during your stay. We will make every effort to schedule the showing at a convenient time and not interrupt your vacation. Thank you in advance for you cooperation.

PREPARING FOR DEPARTURE – Guests are responsible for stripping beds, removing all food from the refrigerator & cabinets, loading & starting the dishwasher, and removing any trash from the premises upon check-out. Non-perishable food items can be dropped off at the office where they will be donated to a local food-bank, supporting those less fortunate in our area. Please turn off all lights and lock all doors and windows. If rental linen was provided – please count and return all linens to their original container and place inside entryway door. Departure maid service is included with your stay. Guests will be charged for: excessive cleaning, late departure, keys not being returned.

CHECK-OUT – Check-out time is 10:00 AM. In the event that your travel plans include a departure time after our 10:00 AM check-out time, we will be happy to store your luggage at our office until your departure. Our housekeeping team depends on your timely departure so they may prepare for our next scheduled arrival. Please make all advanced tentative requests prior to check-out.

LEFT ITEMS – Please report lost items within 24-hrs of departure. We make every effort to locate lost items. Guests are contacted for valuable lost and found items whenever possible. All items found are properly documented and kept for safekeeping, with the exception of credit cards which are returned to the issuing bank or destroyed. If found, lost items are mailed C.O.D. Beach Realty is not responsible for any personal items left behind. Items not claimed within 30-days are donated to local charities. Beach Realty immediately hands over certain lost and found items (large sums of money, high-value jewelry, firearms, etc.) to local law enforcement and guests need to contact the police to reclaim such items. After items have been handed over to the police, Beach Realty is only responsible for providing guests with the contact details of the police department the items were transferred to.

LIMITATIONS OF REMEDIES, DAMAGES, AND IDEMNITY – In the event Agent or Owner is unable to deliver property to Guest under this agreement because of fire, eminent domain or Act of Nature, unavailable because of delay in construction or because of lack of water, sewer, services, the property is sold, removed from rental program, or any other reason beyond Agent’s control, Guest hereby agrees that Agent, and Owner’s sole liability as a result of any of these conditions is the full refund of all considerations previously tendered by the Guest pursuant to the terms of this agreement, and Guest expressly acknowledges that in no event shall Agent or Owner be held liable for any consequential or secondary damages, including but not limited to any expenses as a result of travel, cost of re-renting, etc. Guest also agrees in the case of a double booking Guest will be entitled to full refund of all consideration previously tendered by Guest. Alternately, Agent will make all attempts to relocate Guest. The Guest agrees to release and indemnify the Owner and his Agent from and against all liability for injury to the person of the Guest or to any member of his household resulting from any cause what so ever, except only such a personal injury caused by the negligent or intentional acts of the Owner or his Agent. Guest agrees to be responsible for any repairs necessary due to their negligence. Guest understands that Agent has the right to refuse service to anyone and will not be responsible for accidents or injury of any kind to guest, or for loss of money, jewelry, or valuables of any kind. In the event Owner or Agent has to resort to legal process to enforce rights under this agreement, Guest shall be responsible for reasonable Attorney fees and costs. Guest agrees this contract is entered into in Horry County, South Carolina and consents to personal jurisdiction and any proper court location therein. This agreement shall not be binding unless and until Agent has received completed forms, with required signatures, request has received approval by Beach Realty management, one-half the gross rent and all checks have cleared the bank. Guest acknowledges that they may not have possession of the property until full rental amount set forth herein has been paid in full. If Guest or any member of his/her party violates any of the conditions of this agreement, Agent may terminate this agreement and enter premises. Upon notice of termination of this agreement, Guest shall vacate the premises immediately without refund.
